At Postadressen.dk, we process personal data as part of providing our mail handling service. This Privacy Policy explains what information we process, why we process it, and what rights you have.


1. Data Controller

2. What personal data do we process?

We only process personal data that is necessary to provide our service, including:

  •  Name
  •  Email address
  • Information provided by the customer when creating a subscription, including billing information (address, postal code, city, and country)
  • Information related to the digital delivery of scanned mail via the customer's cloud storage.
  • Information contained in received physical mail and documents that the customer chooses to have delivered to Postadressen.dk
  • Identity documentation (such as passport, driving licence or national ID) submitted by the customer for identity verification when activating the service 
  • Technical information such as IP address and device information in connection with the use of our website and cookies

We do not collect or process more information than necessary.


3. Purpose of processing

Personal data is processed for the following purposes:

  • Receiving, opening, scanning, and digitally delivering physical mail and documents

  • Administration of subscriptions and customer relationships

  • Communication regarding the service and mail handling

  • Compliance with applicable legislation

3.1 Identity verification

As part of the service activation process, Postadressen.dk may request identity documentation from the customer in order to verify the customer's identity and prevent misuse of the service.

Identity documents are submitted through a secure file request service and are used solely for the purpose of identity verification.

The documents are stored only temporarily and are deleted immediately after the verification process has been completed.


4. Legal basis

Personal data is processed for the following purposes:

  • Performance of a contract (GDPR Article 6(1)(b))

  • Legitimate interest in operating, securing, and administering our mail service (GDPR Article 6(1)(f))

  • Where relevant: consent (GDPR Article 6(1)(a))


5. Handling of physical mail

  • Physical mail is opened solely for the purpose of scanning and digital delivery
  • Physical mail is destroyed immediately after scanning, unless otherwise agreed separately and in writing
  • Mail is handled manually and only by authorised personnel.


6. Storage and deletion

  • Scanned mail is uploaded as a PDF to a shared folder in the customer's personal cloud account.
  • Once the document has been uploaded to the customer's cloud folder, the digital copy is deleted by Postadressen.dk without undue delay, unless otherwise agreed in writing or retention is required under applicable law.
  • The customer is solely responsible for the storage and security of delivered digital mail.
  • Information related to bookkeeping is stored in accordance with the Danish Bookkeeping Act.


7. Sharing of personal data

Personal data is not shared with third parties for their own purposes.

To the extent necessary for operating our service, we use external data processors, including providers of hosting, cloud services (such as Dropbox), email services, and payment providers.

Data processors only process personal data according to our instructions and in compliance with applicable data protection legislation.

For payment processing, we use Stripe as an external payment provider. Stripe processes payment information (including card number, expiry date, and CVC), and this information is not accessible to Postadressen.dk. Stripe processes personal data in accordance with its own terms and applicable data protection legislation.


8. Data security

We have implemented appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or misuse.

Access to mail and personal data is restricted to authorised personnel, and digital data is handled in secure systems, including cloud services with access control, in connection with the delivery of mail.


9. Your rights

You have the right to:

  • Access the personal data we process about you

  • Have incorrect information corrected

  • Have your data deleted, where possible

  • Object to the processing

  • Receive your data in a structured, commonly used format (data portability)
